Christmas on Main of Lamar, Inc. is dedicated to bringing our community together through the joy of Christmas. We take your privacy seriously. We collect only what we need, we protect what you share with us, and we never sell your information. This policy explains what we collect, why we collect it, and how you can contact us with questions or requests.

Our mission is to make Lamar a destination for families near and far to come celebrate the joy of the holiday season together. Through our Cruisin’ Into Christmas festival and car show, Cruisin’ Under the Lights Christmas Parade, Tribute Wreath Wall, decorated downtown, life-sized nativity scene, and the spirit of sharing with our neighbors, we are dedicated to bringing our community together and celebrating the true spirit of Christmas, creating memories that last a lifetime.

Christmas on Main of Lamar, Inc. operates under the following brand names, all of which are programs of the same registered 501(c)(3) nonprofit organization:

  • Christmas on Main — our community identity and umbrella brand
  • Christmas on Main of Lamar — regional identity
  • Cruisin’ Into Christmas — our annual festival and car show event brand
  • Cruisin’ Into Christmas Car Show — our annual car show
  • Cruisin’ Under the Lights Christmas Parade — our annual parade
  • Tribute Wreath Wall — our memorial and honorary wreath sponsorship program

All references to any of these names in this Privacy Policy refer to Christmas on Main of Lamar, Inc., EIN 85-3148405, registered with the South Carolina Secretary of State CIN P69998.

3. We Do Not Sell Your Information

We do not sell, trade, rent, or share your personal information with third parties for their marketing purposes. Period. Your information is used only to operate our programs, process your sponsorship or donation, and communicate with you about your request or our mission.

4. What Information We Collect

We collect information only when you provide it to us directly. This includes:

  • Checkout and sponsorship data: Name, billing address, email address, phone number, payment method, and order details including items purchased, amount, and transaction date when you sponsor a tribute wreath or make a donation. We do not store credit card numbers — payment processing is handled entirely by PayPal on their secure servers.
  • Tribute and honoree information: The name of the person you are honoring, your tribute message, and whether you wish to display your name as the sponsor.
  • Acknowledgment card mailing addresses: If you request a physical acknowledgment card, we collect that mailing address for delivery purposes only.
  • Application and form submissions: Information submitted through vendor, parade, car show, or volunteer applications, contact forms, or email correspondence with our organization.
  • Privacy and content requests: Information you provide through our Privacy, Photo & Content Requests form.
  • Analytics data: We use Google Analytics to understand how visitors use our website. This data is aggregated and anonymous.

5. Cookies and Tracking

Our website uses cookies in the following ways:

  • WooCommerce session cookies: Required for the sponsorship checkout process to function. These expire when you close your browser.
  • Google Analytics: We use anonymized analytics to understand site traffic and improve the visitor experience. You can opt out at tools.google.com/dlpage/gaoptout.
  • No advertising cookies: We do not use advertising networks, retargeting pixels, or third-party tracking cookies of any kind.

6. How We Use Your Information

We use the information we collect to:

  • Process your tribute wreath sponsorship or donation and send your order confirmation
  • Provide IRS-compliant tax acknowledgment for your contribution
  • Mail physical acknowledgment cards if requested
  • Display approved tribute information on the virtual Tribute Wreath Wall
  • Review and process vendor, parade, car show, and volunteer applications
  • Communicate with you about your request, order, or our mission
  • Send occasional email updates if you have opted in through Mailchimp

We do not use your information for any purpose beyond what is described in this policy without your consent.

7. Tribute Wall Display Consent

By submitting a tribute wreath sponsorship, you consent to the public display of the honoree name and your tribute message on the virtual Tribute Wreath Wall at christmasonmain.org and at our physical community holiday display. All submissions are reviewed by our committee before being displayed and are subject to approval or rejection.

If the honoree is a minor under 18, the sponsor represents and warrants that they have the legal authority or expressed permission of a parent or legal guardian to display that individual’s name and tribute message publicly. Parents and legal guardians may request removal at any time through our Privacy, Photo & Content Requests form and requests involving minors will be responded to within 48 hours.

8. Physical Card Mailing

If you request that an acknowledgment or honoree card be mailed to a third party — such as the honoree’s family — the mailing address you provide is used only for that specific mailing. It is not added to our mailing list, not shared with any third party, and not used for any other purpose. If the card has not yet been mailed, you may request removal of that address through our Privacy, Photo & Content Requests form.

9. Donor Privacy and Sponsor Recognition

Christmas on Main of Lamar, Inc. respects the privacy of our donors and supporters while honoring the recognition that is part of every sponsorship commitment.

Sponsor Recognition

Sponsorships at all levels — Title, Presenter, Platinum, Gold, Silver, and Bronze — include public recognition as part of the sponsorship arrangement. This recognition may include display of the sponsor’s name on festival banners, signage, social media posts, our website sponsor carousel, and other promotional materials associated with Cruisin’ Into Christmas and its events. By accepting a sponsorship at any level, sponsors agree to this recognition as part of the sponsorship arrangement.

Online Donations and Sponsorships

Donations made through our website at qualifying sponsorship levels are treated as sponsorships and include public recognition as described above. An anonymous option is available at checkout for donors who wish to contribute without public recognition — simply select the anonymous option and your name will not appear in any public materials. By completing a donation through our website, donors agree to our Terms and Conditions which govern recognition and display. Tribute Wreath Wall Sponsors

Individuals who sponsor a tribute wreath through our website have an anonymous option built directly into the checkout process. If you choose to remain anonymous, your name will not be displayed on the virtual Tribute Wreath Wall or in any public tribute display. We honor all anonymous sponsorship requests.

Personal Information

We do not sell, trade, rent, or share personal contact information — including mailing addresses, email addresses, or phone numbers — with any third party for any purpose. Recognition of a sponsor’s name on public materials does not constitute sharing of personal contact information.

Sponsors Wishing to Remain Private

Any sponsor at any level who wishes to contribute without public recognition should contact us at info@christmasonmain.org prior to finalizing their sponsorship so we can make appropriate arrangements.

10. Children’s Data and Minor Honorees

While we welcome children and families at our events and website, we do not knowingly collect personal information from children under 13 without parental consent. We voluntarily uphold the principles of COPPA (Children’s Online Privacy Protection Act, 15 U.S.C. § 6501 et seq.) and respect all removal requests involving minors.

If a tribute wreath is dedicated to a minor honoree, the sponsor warrants that they have the legal authority or expressed permission of a parent or legal guardian to display that individual’s name publicly. If you are a parent or guardian and wish to request removal of a tribute or photo involving a minor, please use our Privacy, Photo & Content Requests form. Requests involving minors are responded to within 48 hours.

Christmas on Main of Lamar, Inc. photographs and records video at its public events for promotional, archival, and community engagement purposes. In alignment with the principles of COPPA and general best practices for youth privacy, photographs appearing on our website, social media, and promotional materials that include individuals who appear to be under the age of 13 may be edited using reasonable techniques to protect the identity of minors. Such techniques may include, but are not limited to, cropping, blurring, stylization, or the use of digital or artificial intelligence-based tools to reduce or obscure identifying features. These edits will be applied solely for the purpose of protecting the privacy and identity of minors and will not be used for any commercial, deceptive, or malicious purpose. Original unaltered photographs of identifiable children under the age of 13 are never published online without written parental consent. If you believe a photograph of your child has been published without your consent, please submit a request through our Privacy, Photo & Content Requests form and we will respond within 48 hours.

11. Third-Party Services

We use the following third-party services to operate our website and programs. Each service has its own privacy policy:

  • PayPal: Payment processing for tribute wreath sponsorships. We never see or store your payment card information. PayPal Privacy Policy
  • GiveWP: Donation form processing and donor management for general contributions. Donor information is stored securely within our WordPress database. GiveWP Privacy Policy

  • HostGator: Website hosting provider. Our WordPress database is stored on HostGator servers. HostGator Privacy Policy
  • Growth Logics, LLC: Website design, development, and ongoing maintenance services. Growth Logics, LLC has administrative access to the website backend for the purpose of site management, updates, and technical support. 12. Third-Party Links

Our website may contain links to third-party websites such as local businesses, sponsors, or community organizations. We are not responsible for the privacy practices of those websites. We encourage you to review the privacy policy of any site you visit.

13. Security

We take reasonable steps to protect the information stored on our website. Our site uses SSL encryption, payment processing is handled by PayPal on their PCI-compliant servers, and we use Wordfence Security and daily UpdraftPlus backups to protect our WordPress installation. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.

14. Sensitive Information

Please do not submit sensitive personal information through our website or forms, including Social Security numbers, government-issued ID numbers, health or medical information, or financial account numbers. We have no need for this information and are not equipped to handle it securely.

15. Data Retention

We retain your information for the following periods:

  • Financial transaction records and order data: Minimum 7 years in compliance with IRS requirements for 501(c)(3) nonprofit organizations. These records cannot be deleted upon request due to legal retention obligations.
  • Tribute wall records: For the duration of the program unless removal is requested and approved.
  • Email marketing list: Until you unsubscribe. You may unsubscribe at any time using the link in any email or by submitting a request through our Privacy, Photo & Content Requests form.
  • Card mailing addresses: Until the card has been mailed. If the card has not yet been mailed, you may request removal.

16. Your Rights and Choices

You have the right to:

  • Request access to the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your personal information (subject to IRS retention requirements for financial records)
  • Opt out of email marketing at any time
  • Request removal of a tribute from the virtual Tribute Wreath Wall
  • Request removal of a photo or video involving you or your child

To exercise any of these rights, please use our Privacy, Photo & Content Requests form. We respond to all requests within 5 business days. Requests involving minors are responded to within 48 hours.

17. Donation Refund Policy

Tribute wreath sponsorships are generally non-refundable as they directly support our nonprofit mission. If you believe an error was made in your transaction, please contact us at info@christmasonmain.org within 30 days of your order and we will review your request. Because sponsorships are charitable contributions, refunds may have tax implications. Please consult your tax advisor. EIN: 85-3148405.

18. Changes to This Policy and Contact Information

Christmas on Main of Lamar, Inc. reserves the right to modify this Privacy Policy at any time. When we make changes, we will update the Last updated date at the top of this page. We encourage you to review this policy periodically.
