Vendors must stay within their assigned space. No encroachment into walkways, neighboring spaces, or common areas. Canopies and tents must be properly weighted or staked. Christmas on Main of Lamar reserves the right to reassign spaces at any time for operational or safety reasons.

Generators are allowed but must be positioned safely away from public walkways and neighboring vendor spaces. All generators must be in good working condition and operated in accordance with local fire safety guidelines. Vendors using generators must notify the event coordinator in advance on their application.

Electrical Service Policy — Check to Acknowledge

Electrical hookups are available on a first-come, first-served basis and must be requested on the application. Vendors requiring 220V service must indicate this in advance. Vendors are responsible for providing their own extension cords and any necessary adapters. Do not exceed the amperage of your assigned circuit.

Propane and open flame use must be disclosed on the application. All propane tanks and open flame equipment must meet local fire safety standards and be positioned safely. A fire extinguisher must be readily accessible at any booth using open flame or propane.

Water access is available on a first-come, first-served basis and must be requested on the application. Vendors are responsible for providing their own hoses, connections, and any necessary adapters. Water availability depends on venue infrastructure and is not guaranteed.

Event-Day Operations — Check to Acknowledge

All vendor setup must be completed by the time listed on your confirmation. Vehicles used for load-in must be removed from the vendor area before the festival opens to the public. Early setup is encouraged. • Vendors may not begin teardown until the festival has officially ended or until directed by event staff. Early teardown is not permitted. Vendors assigned on Main Street or within the parade route may be required to clear or relocate before parade activities begin. Vendors assigned outside the parade route may remain set up through the parade only if their assigned location allows. • Each vendor is responsible for cleaning their assigned space before leaving. All trash, debris, and materials must be removed. Spaces must be returned to the condition in which they were found.

A current Certificate of Insurance (COI) is required for Food Vendors / Food Trucks. Other applicants should provide proof of current liability insurance if coverage is maintained or if requested by the event committee based on the proposed activity.

Application Policies & Agreements

Please review the following policies and acknowledgments before submitting your application.

Weather / No Refund Policy — Check to Acknowledge

The event is scheduled to proceed in ordinary rain or inclement weather unless Christmas on Main determines that conditions require cancellation, postponement, or other changes for safety or operational reasons. Registration fees are NON-refundable because of rain, weather conditions, or an applicant’s decision not to participate. If Christmas on Main cancels the event entirely, the separate event-cancellation policy will apply.

Application Policies — Check to Acknowledge

All products must be family-appropriate and suitable for a Christmas-themed community event. Christmas on Main of Lamar reserves the right to ask vendors to remove any items deemed inappropriate. No firearms, weapons, or drug paraphernalia may be sold or displayed. • Submission of an application does not guarantee acceptance. All applications are reviewed by the event committee. Christmas on Main of Lamar reserves the right to accept or decline any application at its sole discretion. • Registration fees are non-refundable after an application has been accepted, including cancellations or changes due to weather. This is a rain-or-shine event, and no refunds will be issued because of weather conditions. If an application is declined by the event committee, the registration payment will be refunded. Processing fees, if applicable, are non-refundable. • If the event is cancelled by Christmas on Main of Lamar due to circumstances beyond its control, registered participants will be notified and offered a full refund or credit toward the following year's event at the organization's discretion. • Registrants who fail to arrive by the designated setup deadline without prior notice forfeit their assigned space and registration fee. No refunds will be issued for no-shows. • Christmas on Main of Lamar reserves the right to waive or adjust registration fees at its sole discretion. Fee waivers are issued on a case-by-case basis via promotional code and do not establish precedent for future events. • I certify that all information provided in this application is true and accurate to the best of my knowledge. I understand that providing false or misleading information may result in denial or revocation of my application.

Photo / Media Release — Check to Acknowledge

By submitting this application, I authorize Christmas on Main of Lamar to photograph and video record me, my staff, booth, vehicle, or parade unit during the event and to use those images and recordings in event-related promotional materials, social media, website content, and press coverage.

South Carolina License & Permit Responsibilities — Check to Acknowledge

I acknowledge that vendors making sales are responsible for maintaining any required South Carolina Department of Revenue (SCDOR) Retail License or Artist & Craftsman License and for collecting and remitting applicable South Carolina sales tax. Food Vendors / Food Trucks are additionally responsible for determining and maintaining all applicable South Carolina Department of Agriculture (SCDA) permits, exemptions, approvals, inspections, and food-safety requirements. Acceptance by Christmas on Main does not constitute approval by SCDOR, SCDA, or any other regulatory authority.

Hold Harmless Agreement — Check to Acknowledge

Vendor agrees to indemnify, defend, release, and hold harmless Christmas on Main of Lamar, its officers, directors, volunteers, sponsors, the Town of Lamar, Darlington County, and their representatives from all claims, damages, losses, injuries, costs, or expenses arising out of vendor's participation, products, food service, equipment, employees, volunteers, vehicles, or setup, except where prohibited by law.
